This Privacy Policy describes how RMT Services OÜ (“we,” “us,” or “our”) collects, uses, discloses, and protects information when you use the My HOA Check website and related services (collectively, the “Service”). By using the Service, you agree to this Privacy Policy. If you do not agree, please do not use the Service.

The Service is primarily intended for users in the United States. If you are in the European Economic Area, United Kingdom, or Switzerland, additional rights may apply under applicable data protection law (see Section 9).

2. Information we collect

Depending on how you use the Service, we may collect:

  • Account and contact data: such as your email address and authentication identifiers when you create or access an account (processed through our authentication provider).
  • Documents and content you provide: including PDFs or other files you upload (for example, HOA governing documents), associated metadata, and questions or inputs you submit for analysis. These materials may identify your property, association, or location.
  • Generated outputs: summaries, findings, citations, and similar results produced from your documents and prompts.
  • Transaction data: records related to purchases (for example, product, amount, and time of payment). Payment card details are collected and processed by Stripe; we do not store full payment card numbers on our servers.
  • Technical and usage data: such as IP address, device and browser type, general location derived from IP, pages viewed, referring URLs, timestamps, and diagnostic or error information.
  • Cookies and similar technologies: as described in Section 6.

We do not knowingly collect personal information from children under 13. See Section 8.

3. How we use information

We use personal information to:

  • Provide, operate, maintain, and improve the Service;
  • Authenticate users, save reports, and enable document storage and follow-up questions;
  • Process payments and fulfill purchases;
  • Analyze usage and performance, troubleshoot issues, and protect the security and integrity of the Service;
  • Measure and improve advertising campaigns, including through conversion tracking and remarketing where enabled;
  • Comply with legal obligations and enforce our terms; and
  • Communicate with you about the Service, including support responses and (where permitted) product updates.

We use automated processing, including artificial intelligence and machine learning services, to generate interpretations of documents you upload. Outputs are informational and may be incomplete or inaccurate; they are not legal advice.

4. Legal bases (EEA, UK, Switzerland)

Where GDPR or similar law applies, we rely on one or more of the following: performance of a contract (providing the Service you request); legitimate interests (security, analytics, product improvement, and advertising measurement, balanced against your rights); consent (where required for cookies or marketing); and legal obligation.

5. How we share information

We share personal information with service providers that help us run the Service, subject to appropriate safeguards and contracts where required. Categories of recipients include:

  • Supabase — authentication, database, file storage, and related infrastructure.
  • Stripe — payment processing and fraud prevention.
  • Google — including Google Analytics for usage measurement, Google Ads for advertising and conversion measurement, and Google-affiliated cloud or AI services used to process documents and generate outputs.
  • Hosting and email — providers that host our application or deliver transactional messages.

We may also disclose information if required by law, to protect rights and safety, or in connection with a business transfer (for example, merger or asset sale), as permitted by law.

6. Cookies, analytics, and advertising

We and our partners use cookies, pixels, and similar technologies for essential operation of the Service, analytics (such as Google Analytics), and advertising (including Google Ads). Where required, we will seek consent before using non-essential cookies or similar technologies.

You can control cookies through your browser settings. Google provides tools and policies for its products; see Google’s documentation for opt-outs where available.

7. International transfers

We are established in Estonia. Our service providers may process data in the United States and other countries. Where we transfer personal data from the EEA, UK, or Switzerland to countries not deemed adequate, we use appropriate safeguards such as standard contractual clauses or other mechanisms permitted by law.

8. Retention

We retain personal information for as long as necessary to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. Document-related data may be retained while your account is active and for a reasonable period afterward unless you request deletion, subject to legal requirements.

9. Your rights and choices

Depending on your location, you may have rights to access, correct, delete, or restrict processing of your personal data, to data portability, and to object to certain processing (including direct marketing). Residents of certain U.S. states may have additional rights under state privacy laws (for example, rights to know, delete, or opt out of certain “sales” or “sharing” for cross-context behavioral advertising, where those terms apply).

10. Children

The Service is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe we have collected such information, contact us and we will take steps to delete it.

11. Security

We implement technical and organizational measures designed to protect personal information. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

12. Changes

We may update this Privacy Policy from time to time. We will post the updated version on this page and update the “Last updated” date. Material changes may be communicated through the Service or by email where appropriate.
